These Terms & Conditions govern your use of the Gauhati University Services Portal at services.gauhati.ac.in (“this portal”), operated by Gauhati University (“the University”), and every service offered through it — currently Email Services and Document Request, and any further service the University adds over time. By submitting a request, creating an application, making a payment, or otherwise using any service on this portal, you agree to these terms. They supplement the University’s general Terms of Use.

Services offered through this portal

Each service on this portal has its own eligibility criteria, application form, and processing workflow, described on that service’s own page at the point of use. These Terms apply across all of them in addition to any service-specific terms shown there. A new service added to this portal in future is governed by these same Terms unless stated otherwise on that service’s page.

One active request per applicant, per service

You may generally hold only one active request per service at a time. Submitting multiple or duplicate requests for the same outcome on the same service may result in the extra request(s) being rejected, without refund of any fee already attributable to the duplicate other than as set out in the Refund and Cancellation Policy.

Accuracy of information

You are responsible for the accuracy of the information you submit to any service on this portal, and for uploading genuine, legible and unaltered documents. Submitting false, forged or materially inaccurate information or documents is a serious matter and may result in rejection of your request, revocation of any certificate or other outcome already issued, and reference to the appropriate University or statutory authority. In case of any variation between the information you submit and the University’s own records, the University’s official records shall prevail, and your request may be placed on hold pending correction.

Payment

Where a service on this portal charges a fee (currently Document Request only — see the Refund and Cancellation Policy and Product/Service Details), fees are payable only through the payment gateway integrated into that service. The University does not accept, request, or store your card, UPI or net-banking credentials — payment is completed on the payment gateway provider’s own hosted page. Before paying, you will be asked to confirm that you have read and agree to these Terms & Conditions and the Refund and Cancellation Policy.

Processing is not guaranteed approval

Submitting a request, and paying any applicable fee, initiates review of that request; it is not a guarantee that it will be approved or that its outcome will be issued. University staff may place a request on hold and ask for correction, or reject it, where the submitted information or documents do not satisfy verification.

Certificates and other verifiable outcomes

Where a service issues a certificate or other outcome that carries a unique reference (currently Document Request, which issues a certificate number and verification ID), it can be independently verified by anyone at verify.gauhati.ac.in by scanning its QR code or entering that reference. You must not alter, reproduce misleadingly, or tamper with such an outcome once issued. An outcome obtained through false information is void and may be revoked at any time.

Communications

By submitting a request on any service you consent to receive email communications about its status, including OTP/verification emails, status updates, and requests for correction. These are transactional communications necessary to process your request, not marketing.

Prohibited use

You must not use this portal, or any service on it, in any way that is unlawful, that could damage or impair the portal or its security, or that seeks to gain unauthorised access to any account, request, or outcome other than your own. Any attempt to do so may be reported to the appropriate authorities.

Intellectual property

The design, layout and any certificate or document templates used by services on this portal are the property of Gauhati University and are protected under the University’s Copyright Policy.

Limitation of liability

While the University takes reasonable measures to keep this portal and its services accurate, secure and available, it does not warrant uninterrupted or error-free operation, and does not accept liability for indirect or consequential loss arising from your use of it, except as required by law.

Governing law

These terms are governed by the laws of India. Any dispute arising in relation to this portal or its services shall be subject to the jurisdiction of the courts at Guwahati, Assam.
